We are seeking a Document Controller / Site Administrator to support the successful delivery of a major project in Västerås, Sweden. This is a site-based role suited to an organised and proactive professional who can manage project information accurately while providing dependable administrative support to the wider site team. You will work closely with project managers, engineers, contractors, suppliers and visitors, helping ensure that documentation, communication and day-to-day site activities are handled efficiently.

Your responsibilities will include maintaining electronic and hard-copy document systems, registering, distributing and tracking project documents, and ensuring that information is correctly version-controlled and readily accessible to authorised users. You will coordinate document reviews and approvals, monitor outstanding actions, prepare reports and registers, and support the compilation of handover and close-out documentation. The role will also involve general site administration, including arranging meetings, preparing agendas and minutes, managing correspondence, supporting onboarding and induction processes, maintaining attendance or access records, and assisting with travel, accommodation, purchasing and other practical site requirements when needed.

To be successful, you should have previous experience in document control, project administration, site administration or a similar coordination role, ideally within construction, engineering, manufacturing, energy or another technical environment. Strong organisational skills and a high level of attention to detail are essential, together with the ability to prioritise tasks and meet deadlines in a busy project setting. You should be confident using Microsoft Office, particularly Excel, Word, Outlook and SharePoint, and be comfortable learning project-specific document management systems. Excellent written and verbal communication skills in English are required; knowledge of Swedish is advantageous. You must be able to work collaboratively, handle confidential information responsibly and maintain accurate records with minimal supervision. A flexible, hands-on approach and willingness to work regularly from a project site in Västerås are important for this position.
