About the Role

We are seeking an experienced Document Controller with strong Bentley ProjectWise experience to support a major rail infrastructure programme in Latvia.

This role will be responsible for managing the flow of project documentation across multiple internal and external stakeholders, ensuring that all documents are accurately created, reviewed, stored, updated and distributed in line with project requirements.

The successful candidate will play a key role in maintaining an efficient document control process, supporting project teams, engineers, designers, contractors and client-side stakeholders throughout the delivery of a high-profile railway construction and supervision programme.

Key Responsibilities

  • Establish and maintain a structured document control process across the project.
  • Organise, categorise and manage project documentation in line with project standards.
  • Ensure effective version control, document naming conventions and filing procedures.
  • Use Bentley ProjectWise for document storage, retrieval, collaboration and distribution.
  • Support team members with ProjectWise processes and best practice.
  • Review documents for accuracy, consistency and compliance with required standards.
  • Coordinate with internal departments and external stakeholders to collect and compile documentation.
  • Facilitate timely distribution of documents to relevant project parties.
  • Maintain documentation records and ensure documents are easily retrievable.
  • Conduct regular audits to ensure documentation is complete, accurate and up to date.
  • Identify discrepancies and support corrective actions where required.
  • Work closely with project teams, engineers, designers, contractors and client representatives.
  • Ensure compliance with project-specific requirements, industry standards and applicable document control procedures.

Requirements

  • Proven experience as a Document Controller within an infrastructure, construction or engineering environment.
  • Minimum 3 years' experience using Bentley ProjectWise.
  • Minimum 3 years' experience using Microsoft Office.
  • Previous experience in railway or construction projects would be highly desirable.
  • Strong organisational and multitasking skills.
  • Excellent attention to detail and commitment to documentation accuracy.
  • Good understanding of document control processes, standards and best practice.
  • Ability to work with multiple stakeholders across a complex project environment.
  • Previous experience as an Office Manager or Document Controller would be suitable.
  • Secondary-level diploma or vocational training, ideally in administration or secretarial studies.

Language Requirements

  • English: B1 level minimum.
  • Latvian: C level required; native Latvian is preferred.

Additional Requirements

  • Strong knowledge of Microsoft Office.
  • Strong working knowledge of Bentley ProjectWise.
  • Eligibility to work in Latvia or ability to secure the necessary residency/work permit within required mobilisation timelines.
