Office Administrator/ Manager - Renewable Energy Sector
Location: On-site in Eschborn, Germany

An established international organisation within the renewable energy and infrastructure sector is seeking a qualified and detail-oriented Office Administrator to support the effective functioning of its office in Eschborn, Germany. The role will support business operations across Europe and Africa, contributing to the delivery of sustainable energy infrastructure projects.
The successful candidate will provide high-level administrative and operational support to the General Manager and wider team, ensuring organisational efficiency, supporting human resources processes, and maintaining essential office and cloud-based systems.
Key Responsibilities
Manage day-to-day administrative operations to ensure an efficient and professional office environment.
Provide organisational support to internal teams, including travel coordination, meeting scheduling, and event preparation.
Maintain and oversee the company's cloud-based documentation systems to ensure accessibility and structure.
Prepare materials and coordinate logistics for internal meetings in collaboration with senior management.
Facilitate onboarding and orientation processes for new employees, ensuring alignment with company policies and access to required resources.
Maintain accurate and up-to-date employee records in accordance with internal protocols and data privacy regulations.
Assist in the coordination of internal training programmes and other employee development activities.
Serve as a point of contact for general HR-related inquiries and support internal communications initiatives.
Coordinate recruitment logistics, including interview scheduling and offer letter preparation.
Support the development of a positive and well-organised office culture, reflecting the values of professionalism, integrity, and efficiency.
Handle sensitive and confidential information with discretion and professionalism.
Participate in company initiatives and events to support continuous improvement and staff engagement.
Carry out other duties as assigned by management.
Candidate Profile
Bachelor's degree or equivalent professional experience.
Minimum of five years of relevant administrative experience, ideally within the energy, infrastructure, or professional services sectors.
Fluency in English is required; proficiency in German is highly desirable. Knowledge of French or Spanish would be considered an asset.
Excellent verbal and written communication skills, with the ability to produce professional business correspondence.
Strong organisational and multitasking capabilities, with a high level of accuracy and attention to detail.
Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and experience with cloud-based document management systems.
Demonstrated reliability, discretion, and a proactive approach to work.
Ability to work independently while also contributing effectively to a team-based environment.
